Below you can read more about the conditions that apply when travelling with Bering Travel. It is important that you carefully read all the material you receive from us before you travel.

When you book a trip with Bering Travel, you will receive a booking contract describing the trip. The contract document will state if you have requested any changes to the standard trip as described in our other material (website and brochures). It will always be the information in the contract document that applies to your trip.

 

Booking

You can book your trip online on our website www.beringtravel.com. Once you have completed your booking, Bering Travel will start the confirmation process. This process will typically take 3-5 business days. When you receive the final confirmation, an invoice will be issued.

The first person listed on the booking is considered the customer to whom all correspondence regarding the trip will be addressed.

All relevant travel documents such as invoice, booking contract, practical information etc. will be sent by e-mail. Please note that you must print your travel documents yourself and bring them with you on your trip.

Bering Travel reserves the right to cancel the agreement if the travel arrangements cannot be confirmed by our suppliers. You will be informed as soon as possible. If the travel arrangements can only be confirmed with changes to the original program, you can decline the offer free of charge.

 

Travel restrictions

Depending on your destination, a valid visa may be required. It is therefore important that you check your destination's passport and visa regulations well in advance. You can find more information on our website or the website of the public authorities in your country. It is your responsibility to meet the requirements of your destination, and Bering Travel cannot be held responsible for missing documents, visas etc.

 

Cancellation

If there are insufficient participants for a scheduled group tour, Bering Travel may cancel it up to 30 days before departure (however, we always try to give notice at least 45 days before departure). When you book a quote for a group trip, you will be notified of the number of participants required before the trip is confirmed.

A trip may also be cancelled due to external circumstances beyond our and our partners' control (force majeure). In these circumstances, you will receive a refund for the trip but will not be further compensated. However, we will always try to offer you an alternative to the cancelled trip.

 

Cancellation policy

The following conditions apply should you be in the unfortunate situation of having to cancel your trip with Bering Travel.

Cancellation more than 60 days prior to departure: The price of the trip, minus the deposit payment, will be refunded (flight tickets and other direct costs are not refundable)

Cancellation between 60 and 30 days prior to departure: 50% of the price of the trip, minus the deposit payment, will be refunded (flight tickets and other direct costs are not refundable)

Cancellation later than 30 days before departure: The price of the trip is non-refundable.

We offer a number of trips that do not apply the above cancellation conditions and can be freely cancelled up to 35 days before arrival. Read more about these conditions here. Please note that the free cancellation does not include any included flights.

 

Bering Travel always recommends that you take out a cancellation insurance. You can cancel your tour free of charge if, within a period of 14 days before the start of the trip if acts of war, natural disasters, life-threatening, infectious diseases or other similar events occur at the destination or in its immediate vicinity. This assessment is always made taking into account official objective statements from, for example, the Ministry of Foreign Affairs. Your right to cancel the trip free of charge is not valid if you were aware of the event in question when the booking was made. If you cancel anyway, Bering Travel's general cancellation policy will apply.

 

Interrupting a trip

If you interrupt a trip for any reason, there will be no refund of unused services (such as hotel nights, luggage transport, half board etc.). Any additional costs related to hotel, transport and etc. in connection with the interruption will be borne by the customer.

 

Changes to your travel dates

If you wish to change the travel dates of your trip, we will try to accommodate your request. All flight tickets that are part of your booking cannot be changed once they have been issued. This applies even if you have not yet paid the issued invoice. The cost of the flight tickets will therefore be lost if the travel dates are changed after booking.

Changes to confirmed bookings come with an administrative cost of EUR 50 plus any direct costs for hotels/arrangements etc.

 

Payment

Bookings without flight tickets included: Once you have made an online booking or accepted a quote, you will receive an invoice. Before the specified deadline you must pay the amount to our bank account or via our online payment solution. If we do not receive the payment before the payment deadline stated on the invoice, we will consider the trip cancelled and your booking will be cancelled.

Bookings with flight tickets included: When you accept a quote where airfare is included (purchased through Bering Travel), the flight tickets must be paid together with the deposit.

Deposit: When booking a trip more than 30 days before the departure date, a deposit must be paid to Bering Travel when the trip is confirmed. The deposit is usually 20% of the total price of the trip. For special request bookings, a higher deposit is typically charged. If you have booked a trip including airfare, you will have to pay the price of the flight tickets plus 20% og the trip itself with the deposit payment.

If you choose to pay by credit card, you must use our online payment solution, which you will find a link to at the bottom of the website. You can pay with the following cards: MasterCard and VISA.

On the invoice you will find both a link and information on how to make an online payment and a bank transfer. You will also find information about payment deadlines. All prices include VAT.

Credit card payments will be captured immediately upon receipt.

In cases where VAT is relevant, this is included in the price.

 

Flight tickets

If you have special requirements for the flexibility of your ticket in addition to the stated itinerary, these must be stated in the certificate of participation. Changes to the itinerary, extensions or free cancellation can only be made if this is stated on the certificate of participation/invoice. Please note that it is very important that your first and last name(s) on the certificate of participation and especially on all tickets match your first and last name in your passport. Middle names must not be registered on the documents as surnames. They can be left out. If there is a discrepancy between the first and last name(s) in the passport and on the tickets, boarding may be denied without liability for the airline and the trip organiser. Not being able to board due to these discrepancies will be regarded as a cancellation on the part of the customer, resulting in cancellation fees.

 

Requirements

It is your responsibility to ensure that you have a valid passport (valid for at least 6 months from the departure date) and the necessary visas and vaccinations for the trip. You must also keep informed of any changes to return departure times, arrive on time at the departure and return points indicated in the itinerary or by other clear instructions, and act in such a way that fellow travellers do not feel threatened. In serious cases, violation of this may lead to you being expelled from further participation.

 

Price changes

According to legislation, Bering Travel as tour operator may increase the agreed price as a result of rising transport costs (including fuel prices), changed taxes, duties, fees and exchange rates. Any price increases must be notified no later than 20 days prior to the commencement of the trip. Price changes will be calculated according to the following principles: In the event of changes in airfares, all charges and taxes may be increased by the current amount if this exceeds DKK 100. In the event of currency changes of more than + 5% or - 10% compared to the date of publication of the price list, the price may be adjusted. The price change will only include costs related to the tour itself. General price reductions due to extraordinary price reductions on airline tickets will benefit all customers, regardless of when the journey was booked or paid for.

 

Complaints

Complaints about unsatisfactory elements on the trip must be made to Bering Travel or our local representative as soon as the defect is discovered, so that we can immediately attempt to remedy the situation. Claims regarding defects that could not be remedied on site must be received by the travel agency within a reasonable time after the end of the trip.

Bering Travel does not provide compensation for walking days, cycling days or other activities that cannot be completed as described in the tour itinerary when this occurs as a consequence of bad weather or other weather-related conditions.

This also applies to sudden situations caused by bad weather - including, for example, landslides.

In cases where weather conditions necessitate transport that is not described as part of the itinerary, Bering Travel will not pay the cost of such transport.

 

Passports, visas, vaccinations

Contact the embassy of the country in question for information about visa regulations. Foreign citizens should seek information about visa requirements. You must also inform us regarding foreign citizenship when booking a trip so we can provide the necessary guidance. If you fail to provide this information and are refused entry at the border, no claims can be made against Bering Travel.

Please contact your doctor or health authorities in your country for information about vaccination requirements.

 

Agent reservation

Bering Travel acts exclusively as an agent on some trips and products, such as cycling and hiking on your own, flight tickets without accommodation, riverboats, cruises etc. It will be clearly stated in the booking contract whether it is an agent reservation. For products where Bering Travel acts as an agent, the tour operators travel conditions and terms of trade will apply alongside the Bering Travels conditions. The terms and conditions of the tour operator will be shown in the booking contract. In relation to cancellations, Bering Travel's terms and conditions always apply.

 

Luggage

If luggage is lost or damaged, Bering Travel is only liable if this is caused by Bering Travel and was reported immediately after the occurrence, however only up to a maximum of EUR 200 per person. We do not accept liability for the following: items not normally carried in luggage (e.g. laptops or other electronic devices), means of payment of any kind, cosmetic damage and damage to handles and wheels on the suitcase, and damage to luggage whose total weight exceeds 20kg.

We recommend that you take out insurance with sufficient coverage, as refunds for e.g. delayed, lost or damaged luggae are often limited to relatively low amounts.

 

Price guarantee

We always try to be the cheapest when we price our trips. When we write that there is a price guarantee on a trip, it means that, as far as we know, there is no travel agency that offers the same trip cheaper than us. If you can find the same trip with another travel agency, we will match the price. The price guarantee applies to tours (i.e. the hotel and activity), not flight tickets. The price guarantee only applies to trips where it is described in the travel description.

 

Guarantee through The Danish Travel Guarantee Fund (applies to the purchase of package holidays)

In the event of Bering Travel's bankruptcy, Bering Travel has provided a guarantee for reimbursement of your payments to Rejsegarantifonden/The Danish Travel Guarantee Fund, Røjelskær 11, 3rd floor, 2840 Holte.

Bering Travel's membership number is 2529.
