Booking Conditions

The contractual relationship between the customer and Bering Travel is binding for the customer when the customer has paid the deposit. Upon receipt of the deposit, the booking is binding for Bering Travel. By paying the deposit the customer accepts all these terms and conditions, together with the invoice, itinerary and any other written information from Bering Travel. It is the customer's responsibility to check that the booked services are correct. If you find a discrepancy between the booked and confirmed information, it is the customer’s obligation to immediately contact Bering Travel.

It is the customer’s responsibility to carefully read the travel program and trip grading before booking a trip with Bering Travel. Make sure that the trip chosen is within personal physical abilities.

 

Travel restrictions

Due to COVID-19 several countries demand that tourists present a corona passport and many destinations require that tourists have filled out Passenger Locator Forms before departure. It is your responsibility to live up to the requirements of your travel destination. Bering Travel cannot be held responsible for missing documents, tests and other requirements.

 

Booking

You can book your trip online at www.beringtravel.com. When you have booked the trip online, you will receive a booking confirmation by e-mail.

In the booking Confirmation you will find a link to your personal tour page "My Tour" on www.beringtravel.com/en/. The first specified person when booking is considered the contact person to whom all correspondence regarding the trip will be forwarded by e-mail. All relevant travel documents such as invoices, vouchers / travel documents, itinerary, trip notes, etc. can be found on your "My Tour" page.

PLEASE NOTE: You need to print your travel document from “My Trip” and bring them on the trip.

Bering Travel reserves the right to cancel the tour if the booked trip cannot be confirmed by our suppliers. The customer will be informed as soon as possible, but no later than 5 working days after booking. Payments will in this case be immediately refunded to the customer.

 

Payment

Tour price includes all mentioned services as stated in the tour program (Price includes / Not Included). When you make a booking, you must pay a deposit of 20% of the tour price.

Final payment must be paid 30 days before tour start. For bookings made less than 30 days before the tour start, the full amount must be paid immediately at time of booking. In the case of non-payment of the final balance by the due date, Bering Travel reserve the right to cancel the booking and a cancellation fee will apply. Bering Travel accept Visa-Electron, Visa or MasterCard and you can pay online over secure SSL connection on www.beringtravel.com. When paying by credit card a fee may apply.

 

Prices and subject to changes

Bering Travel can only increase the agreed priceas a result of changes in transport costs, local taxes, duties, or exchange rates. A price increase must be announced as soon as possible and no later than 60 days prior to departure and must not exceed 10% of the total tour price.

 

Cancellation conditions

In case you cancel your trip, following cancellation charges apply:

More than 60 days before tour start: 20% deposit.
30 – 59 days before tour start: 50% of total tour cost and the deposit.
Less than 30 days: 100% of total tour cost

If conditions at the destination, within a period of 14 days prior to tour start, are of such nature, that there will be an obvious risk for life or limps of the participants i.e. an act of war or natural disasters, Bering Travel will refund the total trip cost. It will be a condition that the UK or US Foreign Ministry Travel Advise should directly advise against traveling to this specific country, destination, or area.

 

Tour leader responsibility

When you make a booking with Bering Travel, online or by telephone, you agree to abide the authority and the decisions taken by the tour leader who represent Bering Travel or our local partners. The decisions made by the tour leader as to the conduct, itinerary and objectives of the tour are final. If the tour leader is of the opinion that your behavior or physical condition is detrimental to the safety or welfare of the group, or if the tour leader consider your general wellbeing will put you or the group at risk, you may be asked to leave the tour without the right to any refund for unused services.

 

Cancellation Insurance

Cancellation Insurance is the responsibility of the customer. When you book a trip with us, you should consider whether you want to take out cancellation insurance against sudden illness, or whether you are already covered. You must arrange the cancellation insurance in your home country.

 

Travel Insurance

We highly recommend that you are covered by a good travel insurance covering at least Medical Expenses, Illness, Personal Accident, Baggage and Repatriation. The customer is responsible to take the necessary travel insurance that covers these costs. Bering Travel, or our local partners, do not have any responsibility for our customers not being covered by a necessary travel insurance. You must arrange your insurance in your home country.

 

Absence or similar

Bering Travel have no responsibility for no-shows or unused services. If the customer does not meet at the correct time or place for trip start, or the participant cannot join the trip due to lack of travel documents, delayed flights, or the participant in other ways fails to attend the trip or to use the booked services, then Bering Travel has the right to charge full price for the tour.

 

Significant changes / cancellations before departure

In case there are any significant changes in the booked tour, the customer may cancel the tour and will get a full refund. You must immediately after receiving notice of the change, notify Bering Travel about your decision. If you choose to participate in any other travel arrangements at a higher price, you must pay the difference. If you choose a cheaper tour, you will get a refund of the difference.

 

Complaints during the trip

Any complaints during your trip must be communicated directly to your local tour guide or the local agent / supplier at the destination as soon as possible to give them the opportunity to help. Failure to do so will usually cause you to lose the right to later claims. If this does not help, you should contact Bering Travel, so we can help. A written complaint must be submitted to Bering Travel no later than 4 weeks after the trip ends.

Bering Travel does not provide compensation for hiking days, cycling days or other activities that cannot be carried out as described in the tour itinerary when this occurs as a consequence of bad weather or other weather-related conditions.
This also applies to sudden situations caused by bad weather - including, for example, landslides.
In cases where weather conditions necessitate transport that is not described as part of the travel programme, Bering Travel will not cover the cost of such transport.

 

Passports and visa

It is the customer’s responsibility to have a valid passport. It is also the customer’s responsibility to seek and obtain any necessary visa for travelling to the booked destination. Your passport must be valid for at least 6 months after the expected return. Note that there may be special visa requirements for different foreign nationalities. Please note that processing time for visas to some countries may be several weeks. Bering Travel have no responsibility for any lack of travel documents. Be aware of any transit visa requirements.

 

Agent reservation

Bering Travel acts exclusively as an agent for individual trips and products, such as cycling and hiking on your own, flight tickets without accommodation, riverboats, cruises and more. It will be clearly stated in the contractual basis from the tour operator whether it is an agent reservation. For products where the tour operator acts as an agent, the supplier's travel conditions and terms of trade will apply alongside the tour operator's conditions. Reference will always be made to the supplier's conditions in the contractual basis.
In relation to cancellations, Bering Travel's terms and conditions always apply.

 

Baggage

If luggage is lost or damaged, Bering Travel is only liable if this is caused by Bering Travel and was reported immediately after the occurrence, however only up to a maximum of EUR 200 per person. We do not accept liability for the following: items not normally carried in luggage (e.g. laptops or other electronic devices); means of payment of any kind; cosmetic damage and damage to handles and wheels; damage to luggage whose total weight exceeds 20kg.
We recommend that travellers ensure that they have insurance with sufficient baggage coverage, as refunds for e.g. delayed, lost or damaged baggage are often limited to relatively low amounts. Travellers should check their own insurance conditions.

 

Fully licensed and bonded tour operator

Bering Travel is a fully licensed and bonded tour operator. When you travel with us, you are covered by the Danish Travel Guarantee Fund. The Travel Guarantee Fund provides assistance to all nationalities. Read more about The Travel Guarantee Fund Act here.

Bering Travel is covered with Enhanced Liability Insurance through Gouda Travel Insurance.
